Your shop was full all month. So where did the money go?

Most print shops don't lose money in slow months. They lose it in the busy ones:

  • 1A job quoted from memory while you were on the floor. Wastage, machine time, artwork and delivery never made it into the price.
  • 2Vinyl that runs out halfway through a banner order, so someone rushes out to buy a roll at whatever price the supplier asks.
  • 3A corporate client who pays 60 days later, after you've already paid for the blanks, the film and the wages.

It's not your work. It's that nothing connects the quote, the stock, the floor and the invoice. Money slips out at every handoff, and nobody can see where.

Heard in your shop this week?

"Only the boss can price that one."Front desk, while the client waits
"Is my order ready?"The same client, third call today
"Where did that roll of vinyl go?"Store, on Monday morning
"Which WhatsApp group had the final artwork?"Production, before printing 500 mugs
"Did anyone send them the invoice?"Finance, two weeks after delivery
"Where are the eTIMS receipts?"Your accountant, at KRA time

2 months out of pocket

If the client pays in 60 days, the shop carries KES 74,750 of costs before it sees a shilling of the KES 90,000.

Priced in PrintFlow: KES 1,070 a polo

Every one of those costs is in the quote before it goes out. At KES 1,070 a shirt the job makes a 30% margin, and you know it before you print a single one.

That's one job. How many like it did you run last month?

Six places a print job leaks money.
PrintFlow closes every one.

Every job travels from quote to cash. Here's where money slips out in most shops, and what happens instead when the job runs through PrintFlow.

  1. Quote

Anyone at the front desk quotes in minutes, with your margin built in.

The leakOnly the owner can price a job. Quotes wait, the client asks the next printer, and rushed quotes miss wastage, labour and machine time.
With PrintFlowQuotes are built from your saved material, labour and machine costs, and the margin shows before the quote is sent.
  2. Approval

Production gets exactly what was sold.

The leakThe client says yes on WhatsApp, and the floor gets the specs on paper or a forwarded message. Wrong size, wrong colour, reprint.
With PrintFlowThe approved quote turns straight into a job, with the specs and details that were agreed, so nothing is retyped.
  3. Stock

The material is there when the job starts, and you know where every roll went.

The leakMaterial isn't set aside for the job. It runs out mid-order, gets over-bought "just in case", or quietly disappears.
With PrintFlowStock is reserved to each job, usage and waste are recorded against it, and low-stock alerts warn you before you run out.
  4. Production

Fewer "is my order ready?" calls. Answers without leaving the desk.

The leakNobody can see which stage a job is at. The client calls you, you call the floor, and updates get lost across five WhatsApp groups.
With PrintFlowEvery job shows its stage, from design to print to dispatch, and your team messages each other inside the job itself.
  5. Delivery

Bill the day you deliver. No more forgotten invoices.

The leakThe job leaves the shop and nobody tells finance. The invoice goes out a week late, or not at all.
With PrintFlowThe invoice is ready when the job is delivered, built from the same quote, so the amount is right the first time.
  6. Payment & tax

Collect faster, and face KRA with clean books.

The leakCorporate clients pay in 30 to 90 days. And since January 2024, KRA won't let you deduct supplier bills without an eTIMS invoice.
With PrintFlowM-Pesa collection, payment history per client, eTIMS-ready records and an Accountant Module with P&L and VAT reports.

And over all six: one screen that shows you the whole shop.

Profit by job and by job type, money owed, and every job in progress, on the web or the Android app. Stop guessing which work pays. Price and sell more of it.

Front desk staff and a manager at a print shop reception One system. Every person in the shop.

The owner stops being the bottleneck. Everyone else gets on with the work.

Today most of the shop waits on one person to price, approve and answer. PrintFlow gives each role what they need to move without you.

  • Owner

See every job's profit and every shilling owed, without being in the shop.

  • Front desk & sales

Quote fast and right, and answer "is it ready?" without calling the floor.

  • Production

Clear job cards, material ready before the job starts, and one place for messages.

  • Store

Know what's reserved, what's running low, and where the waste happens.

  • Finance & your accountant

Invoices on delivery, M-Pesa payments recorded, and eTIMS-ready records at tax time.

What our first shops tell us

  • Quoting is faster. Staff don't wait for the owner to price every job.
  • The team talks inside the job, so updates don't get lost.
  • Fewer clients calling to ask where their order is.

Onboarding is priced for your shop

Every shop is different, so we quote onboarding after a quick chat. It depends on:

  • Number of training days
  • Level of customisation
  • Number of branches
  • Number of employees

That's about KES 250 a day. The polo job above lost KES 9,750, more than a month of PrintFlow.

Before you book

Is PrintFlow for small shops?

Yes. It's built for print and branding shops, not big factories. If you quote jobs, buy materials and chase payments, it's built for you.

My staff aren't very techy.

We train your team during setup, and support you on WhatsApp after you go live. If your team can use WhatsApp, they can use PrintFlow.

Do I have to move my data in myself?

No. During setup we move your price list, stock and customers in for you.

How long does setup take?

2–5 days, depending on the size of your shop.

Does it work on my phone?

Yes. Use the web app in your phone's browser, or download the Android app.

Is the profit calculator really free?

Yes. Use it as often as you like. No sign-up needed to see your result.

Can I cancel?

Yes. Cancel any time with 30 days' written notice by email or WhatsApp. Your plan runs to the end of the period you've paid for, and isn't renewed. Paid periods and the one-time setup fee aren't refundable once onboarding has started. You can export your data before you leave.

Bring one recent job. We'll show you what it really made.

In a short demo we cost one of your own jobs in PrintFlow, side by side with what you charged. Then you decide.
